1. Who We Are

ALMS NZ is an Assessment and Learning Management System for New Zealand secondary schools. This policy explains how we handle personal information in accordance with the New Zealand Privacy Act 2020.

2. Information We Collect

We collect information necessary to provide our service, including:

3. How We Collect It

Information is collected when you sign in, use platform features, or submit content. We use third-party authentication to verify your identity — no passwords are stored by ALMS NZ.

4. How We Use It

We use your information to operate and improve the platform, facilitate teaching and learning activities, and communicate with you about your account.

We do not sell, share or disclose personal information to third parties, except where strictly necessary to operate the platform (such as hosting infrastructure providers bound by data processing agreements), or where required by New Zealand law.

5. Storage and Security

Your data is stored on secure cloud infrastructure. We apply industry-standard technical and organisational controls to protect personal information against unauthorised access, loss or disclosure.

6. Third-Party Services

We use third-party services to operate the platform. These providers are bound by appropriate data processing agreements. Where personal information is transferred outside New Zealand, we take steps to ensure it receives comparable protection.

7. Cookies

We use cookies solely to maintain your authenticated session. We do not use advertising or tracking cookies.

8. Your Rights

Under the New Zealand Privacy Act 2020 you have the right to access and correct personal information we hold about you. Contact us via the Contact page to make a request.

9. Retention and Deletion

Access to ALMS NZ is tied to your school enrolment or employment. When a student leaves their school or a teacher ends their employment, their account access is automatically deactivated. Personal information associated with deactivated accounts is retained for a short period to support any outstanding assessment or reporting obligations, after which it is permanently deleted.

Schools may request early deletion of student or staff data by contacting us via the Contact page. Individual deletion requests are also accepted where there is no outstanding legal or educational obligation requiring retention.

We do not retain personal information beyond what is necessary to operate the platform and meet our obligations under New Zealand law.

10. Changes

We may update this policy periodically. Continued use of the platform constitutes acceptance of any changes. Material changes will be communicated to school administrators.
